Brookside Pre-school Ltd

Conditions of Acceptance

The following Conditions of Acceptance apply to all children attending Brookside Pre-School. These terms are intended to help ensure the safe, smooth and effective running of the setting and to support the welfare of all children, families and staff.

By accepting a place at Brookside Pre-School, parents and carers agree to the following conditions.

1. Admission and registration

A child’s place at Brookside Pre-School is confirmed only once the required registration process has been completed and the pre-school has agreed the child’s sessions, start arrangements and any relevant funding details.

Parents and carers must provide accurate, up-to-date information when registering their child and must inform the pre-school promptly of any changes to contact details, emergency contacts, medical information or collection arrangements.

2. Settling in

Brookside Pre-School recognises that children settle at different rates. Parents and staff will work together to help each child feel confident, secure and happy in the setting. If a child becomes very distressed, the pre-school may contact the parent or carer and ask them to return if needed. Parents are welcome to contact the setting to check how their child is settling.

3. Attendance and session times

Brookside Pre-School offers the following sessions:

  • Breakfast Club from 8:15am
  • Morning sessions from 9:15am to 12:15pm
  • Afternoon sessions from 11:30/12:30pm to 2:30pm
  • Full day sessions from 9:15am to 2:30pm

Parents and carers are expected to bring children promptly at the start of their session and collect them promptly at the end. Late arrival or late collection can unsettle children and disrupt the smooth running of the pre-school.

4. Fees and payment

Fees are payable in advance and may be paid weekly, monthly, half-termly or termly, as agreed with the pre-school. Attendance is conditional upon payment of any applicable fees and the provision of any required funding eligibility information.

Fees remain payable during short absences unless otherwise agreed by the pre-school. Where there is prolonged absence, parents should discuss payment arrangements directly with the manager.

5. Government funding

Where a child attends using funded childcare, parents and carers must provide all required codes, declarations and supporting information requested by the pre-school. Continued attendance on a funded basis is subject to eligibility and compliance with government funding requirements.

6. Late collection

Children must be collected promptly at the end of their session. Where parents or carers are late collecting their child, Brookside Pre-School reserves the right to apply late collection charges.

Current late collection charges are:

  • 5 to 15 minutes late: £5
  • More than 15 minutes late: £10

These charges may be enforced where late collection happens repeatedly or without informing the pre-school.

7. Collection arrangements and safeguarding

Parents must inform staff who will regularly collect their child from pre-school. If somebody different is collecting, parents must notify the pre-school in advance and provide the agreed password.

Under no circumstances will a child be allowed to leave the pre-school with anyone other than a parent, known carer or named person who can provide the correct password. This condition is in place for the safety and welfare of every child.

8. Illness and exclusion

Parents and carers must not bring a child to pre-school if they are unwell. In particular, children must be free from diarrhoea and vomiting for at least 48 hours after the last episode before returning to the setting.

Brookside Pre-School reserves the right to request that a child is collected if staff believe they are too unwell to remain in the setting or if their attendance may affect the health and well-being of others.

9. Medical information and medication

Parents must notify the pre-school of any medical condition, allergy, health concern or regular medication requirement before the child starts, or as soon as such information becomes known.

Where a child requires regular monitoring or medication, full discussions must take place between staff and parents before attendance begins, so that suitable arrangements can be made to protect the child’s health, safety and well-being.

10. Clothing and personal belongings

Children should attend in practical clothing suitable for active, creative and sometimes messy play. Parents are expected to provide suitable footwear, outdoor clothing and seasonal items such as coats, wellington boots, hats and labelled sun cream where appropriate.

All clothing, footwear and personal items should be clearly labelled.

11. Outdoor play

Brookside Pre-School makes regular use of its outdoor area, and children are expected to take part in outdoor play as part of the daily routine unless there is a specific reason agreed with the setting. Parents should ensure children arrive with suitable clothing for the weather.

12. Partnership with parents

Parents and carers recognise that they are their child’s primary educator and agree to work in partnership with Brookside Pre-School in support of the child’s learning, development and well-being. Brookside values open communication and encourages parents to raise questions, concerns or updates with staff promptly.

13. Learning records and information sharing

Brookside Pre-School uses online Learning Journals and developmental records to support each child’s learning and progress. Parents agree that relevant information may be recorded and shared appropriately in line with the pre-school’s policies and legal responsibilities, including where progress checks or professional collaboration are needed to support the child.

14. Policies and procedures

Parents and carers agree to follow the pre-school’s policies and procedures, including those relating to safeguarding, illness, behaviour, collection, confidentiality and complaints. Brookside’s policies are available to read, are reviewed regularly and form part of the expectations for all families attending the setting.

15. Changes to sessions, fees or procedures

Brookside Pre-School reserves the right to make reasonable changes to session arrangements, fees, policies or procedures where necessary for operational, legal or safeguarding reasons. Parents will be informed of significant changes as appropriate.

16. Withdrawal of a place

Brookside Pre-School reserves the right to review or withdraw a child’s place where:

  • Fees remain unpaid without agreement
  • Required information is not provided
  • Collection arrangements repeatedly place a child at risk
  • Parents or carers do not follow key safeguarding or operational procedures
  • The setting is unable to meet the child’s needs without further support or agreed arrangements

Wherever possible, the pre-school will seek to resolve concerns through discussion before any final decision is made.

17. Acceptance of terms

By accepting a place for their child at Brookside Pre-School, parents and carers confirm that they have read, understood and accepted these Conditions of Acceptance and agree to support the pre-school’s procedures and expectations.
